1. Who We Are
Archer Hub is an AI-assisted operational platform for real estate agencies, currently operating as a closed pilot program. References to “we”, “us” or “Archer Hub” mean the platform operator.
2. What Information We Collect
We collect information in the following categories during the pilot:
- Agency and account information: agency name, ABN, address, subscription details, and the names and email addresses of registered users.
- Buyer and vendor information: names, contact details, finance status, and other property-related information entered into the platform by your agency.
- Inspection data: attendee names, phone numbers, email addresses, and survey responses collected via QR code registration.
- Offer information: Letter of Offer submissions including buyer details, offer amounts, and financial readiness declarations.
- Vendor portal activity: access events, feedback, and responses submitted through vendor portal links.
- Support requests: the content of any support requests you submit, including descriptions of issues and page context.
- Usage data: standard web logs including IP addresses, browser types, and pages visited.
3. How We Use Your Information
We use collected information to:
- Provide, maintain and improve the Archer Hub platform during the pilot
- Deliver AI-assisted features (buyer scoring, inspection summaries, compliance tracking)
- Send system notifications such as invite emails and support acknowledgements
- Respond to support requests and diagnose technical issues
- Improve platform reliability via aggregated, anonymised usage analytics
We do not sell your data or the data of your buyers, vendors, or team members to any third party.
4. AI Features and Third-Party Processing
Certain features use AI models to generate summaries, assessments, and recommendations. During the pilot, these features are powered by Anthropic (Claude) and OpenAI APIs. Data submitted to AI features may be processed on third-party infrastructure subject to those providers’ terms.
AI-generated outputs are assistive only. They are not legal, financial, compliance or regulatory advice. Your agency is responsible for verifying any AI-generated content before acting on it.
5. Data Storage and Security
Data is stored in Supabase (PostgreSQL) with row-level security. Each agency’s data is logically isolated. We apply commercially reasonable technical measures to protect data in transit and at rest.
During the pilot, security controls are still being hardened. We do not recommend storing highly sensitive personal information beyond what is needed for the features you are testing.
6. Data Retention
Pilot data is retained for the duration of the pilot program and a reasonable period thereafter to support any post-pilot transitions. We will provide reasonable notice if we intend to delete pilot data.
7. Your Agency’s Obligations
Your agency is the data controller for buyer and vendor information entered into Archer Hub. You are responsible for:
- Obtaining appropriate consent from buyers and vendors whose data you enter
- Complying with the Privacy Act 1988 (Cth) and any applicable State or Territory laws
- Ensuring your team members understand how their information is used
- Not entering sensitive personal information beyond what is required for the workflows
Archer Hub does not provide legal or compliance advice. You should seek independent legal advice regarding your privacy obligations.
8. Access and Correction
To request access to, or correction of, personal information held about you or your agency, contact us at hello@archerhub.app. We will respond within a reasonable timeframe.
9. Changes to This Policy
We may update this policy as the platform evolves. Material changes will be communicated to pilot participants via email. Continued use after notification constitutes acceptance.
